§ 1 
Informacje ogólne

1. Lazarski University based in Warsaw, 43 Śwueradowska Street, hereinafter referred to as the Organiser or the University, organises the Lazarski University 30th Anniversary Picnic, hereinafter referred to as the Picnic.
2. The Security and Information Services means, inter alia, the employees of the personal and property protection agency designated by the Organiser to ensure safety of the people participating in the Picnic, thus also to check the Participants' eligibility to join in the Picnic.
3. The Participant means a person taking part in the Picnic based on a QR code. Only an adult person can be the Participant.
4. The Picnic is aimed at celebrating the 30th anniversary of Lazarski University by the University authorities, academic staff, students, alumni, administrative personnel and invited guests.
5. The Picnic will take place on the University campus on 1 July 2023, from 4:30 pm till 10:00 pm.

§ 2 
Registration 

1. Only registered students, alumni, academic teachers, the University authorities, administrative personnel and invited guests may participate in the Picnic.
2. The Participant can join in the Picnic only in person and with no other persons in company.
3. A person who wants to participate in the Picnic must, until 28 June 2023, fill in a participation form attached to the invitation sent to them and receive a confirmation of the registration and a QR code, which will be the basis for admission into the Picnic venue.
4. Participation in person means the obligation to comply with the present Rules and Regulation. The content of the Rules and Regulations shall be available in the Picnic venue and on the University website: 30piknik.lazarski.pl/en/. The Participant is obliged to read the Rules and Regulations and accept them.
5. Each Participant in the Picnic in person must submit a relevant form containing declarations concerning the acceptance of the Rules and Regulations and criminal liability, hereinafter referred to as the Form, as well as get acquainted with the information clause concerning personal data processing.
6. All the Participants who want to join in the Picnic are absolutely obliged to fill in the Form referred to in subsection 3 herein.
7. A person who will fail to fill in the Form shall not be admitted to the Picnic.
8. Entry to the University premises (through the main gate) on the Picnic day will be possible from 4:30 pm.
9. On the Picnic day, each registered Participant shall receive an identification band upon their entry onto the University premises.

§ 3 
Staying on the University premises and safety rules

1. During the Picnic, only registered Participants possessing an identification band, technical staff and a live band may stay on the University premises.
2. The Organiser shall designate zones to which access will be limited or possible only for authorised persons. The back room, the stage, the dressing room, as well as the technical and organisational rooms are places that are in particular inaccessible to the Participants.
3. The Organiser shall ensure the safety of the Picnic Participants and order during the event by, inter alia, providing medical assistance, hygiene and sanitary facilities and fire protection measures.
4. The Participants of the Picnic and all other people who stay in the Picnic venue shall be obliged to behave in the way that does not present a threat to the safety of other people and, in particular, comply with the provisions of the Rules and Regulations.
5. During the event, the Participants are prohibited from bringing and possessing:
   1. weapons or other dangerous items;
   2. explosives and pyrotechnic materials;
   3. fire hazardous materials;
   4. alcoholic beverages;
   5. narcotic drugs or psychotropic substances.
6. The Organiser shall have the right to refuse an unregistered person entry onto the University premises.
7. The Organiser shall have the right to request a person staying in the Picnic venue without a visible identification band to leave the area.
8. The Security and Information Services shall be authorised to inspect the contents of the Participants' luggage and clothing in the event of a justified suspicion that the persons bring and possess objects referred to in § 3 subsection 5 Rules and Regulations and may refuse entry to the Picnic.
9. The Security and Information Services shall have the right to refuse a person entry onto the University premises or request one to leave the Picnic in the event the person behaves in the way that does not conform to the established norms, thus also a person who is intoxicated or under the influence of narcotic drugs.
10. The Participants of the Picnic shall not be able to use the underground and the courtyard car parks. The external parking spaces at the back of the University shall not be available, either.

§ 4 
Photographs and recordings during the Picnic

1. The University informs that, acting on the basis of the legitimate interest in keeping documentation of organised events and providing information about them, designated persons will take group and individual photographs and record film materials during the Picnic.
2. Each Participant of the Picnic shall give consent to disseminate his/her image recorded in the photographs and film materials on the University websites and fan pages, as well as social networks: Facebook, YouTube, Instagram and Linkedin. The Participants shall have the right to withdraw the consent given.

§ 5
Personal data processing

1. The Picnic Participants' data processing
   1. Lazarski University based in Warsaw, 43 Świeradowska Street, postcode: 02-662, shall be the Controller of your personal data.
   2. The Controller has designated a data protection officer, who is available at - iod@lazarski.edu.pl
   3. Your personal data will be processed for the purpose of your registration and participation in the Picnic in accordance with Article 6 par. 1 (b) and (f) GDPR, the performance of a contract to which the data subject is a party and the legitimate interest in ensuring and maintaining good relationships with the academic community of Lazarski University.
   4. Your personal data may also be processed by the Controller for the purpose of promotional campaigns, advertising and other commercial and marketing activities related to the Controller's educational services in the form of mailing and/or short massages and newsletters in accordance with Article 6 par. 1 (a) GDPR, Article 172 Act of 16 July 2004: Telecommunications Law, and Act of 16 July 2002 on the provision of services via electronic means.
   5. The Controller will retain your personal data for a period necessary to perform the Picnic and until the limitation of possible claims. In the event you have given your consent, your personal data will be retained until you withdraw your consent.
   6. Your personal data may be transferred to public authorities and state agencies or other entities authorised in accordance with the provisions of law. Personal data may be transferred to entities that operate the Controller's telecommunications systems and provide the Controller with telecommunications tools, as well as postal, hosting or cloud services. Your personal data in the pseudonymous form will be transferred to the company co-organising the Picnic for the purpose of the QR code verification, which is necessary for entry into the Picnic venue.
   7. Your personal data shall not be subject to automated processing and profiling.
   8. You shall have the right to demand that the Controller give you access to your personal data, the right to rectification, the right to erasure, the right to restriction of processing and the right to data portability. In the event you have given consent, you shall have the right to withdraw it at any time (with no effect on the legitimacy of the processing performed on the basis of the consent given before its withdrawal).
   9. You shall have the right to complain to a supervisory authority: the President of the Personal Data Protection Office.
   10. You shall have the right to object to processing at any time in accordance with Article 6 par. 1 (f) GDPR.
   11. The provision of personal data is necessary for the purpose of organising the Picnic. Failure to provide personal data may result in inability to take part in the Picnic.
   12. Your personal data shall not be transferred to a third country/international organisation unless the Controller's legal duties require that.

§ 6 
Final provisions

1. The present Rules and Regulations shall enter into force on the day of publication on the University websites.
2. Any changes to the Rules and Regulations shall be available on the university websites.
